Refund & Cancellation Policy

This policy outlines the terms under which WellPilot handles subscription cancellations and refund requests for the WellPilot platform.

1. Subscription Cancellation

How to Cancel

You may cancel your WellPilot subscription at any time by contacting our support team at contact@wellpilot.in. Please include your clinic name, registered phone number, and account owner name in your cancellation request.

Effect of Cancellation

Upon cancellation, your subscription will remain active until the end of your current billing period. You will continue to have full access to all features during this time. After the billing period ends, your account will be downgraded and data will be retained for 30 days.

Data After Cancellation

After the 30-day retention period, all clinic data including member records, measurement logs, and analytics will be permanently deleted. If you wish to export your data before cancellation, please contact us and we will assist you.

2. Refund Eligibility

Monthly Plans

Monthly subscriptions are non-refundable once the billing cycle has begun. If you cancel mid-cycle, you will retain access until the end of the current paid period, but no partial refund will be issued.

Annual Plans

For annual subscriptions, a prorated refund may be issued for unused months if the cancellation request is made within the first 30 days of the billing cycle. After 30 days, no refunds will be processed for the remainder of the annual term.

Setup & Onboarding Fees

Any one-time setup or onboarding fees, if applicable, are non-refundable as they cover dedicated time and resources spent on configuring your clinic environment.

3. How to Request a Refund

Submit a Request

To request a refund, send an email to contact@wellpilot.in with the subject line "Refund Request — [Your Clinic Name]". Include your account details, reason for the refund, and preferred refund method.

Required Information

Please include: (a) Clinic name and owner name, (b) Registered phone number, (c) Subscription plan and billing type (monthly/annual), (d) Reason for refund request, (e) Date of payment.

4. Processing Timeline

Review Period

All refund requests are reviewed within 5-7 business days of receipt. Our team will verify the request details and eligibility before processing.

Refund Processing

Approved refunds will be processed within 7-10 business days. Refunds will be credited to the original payment method used for the subscription. Bank processing times may add 3-5 additional business days.

5. Exceptions & Special Cases

Service Downtime

If WellPilot experiences extended unplanned downtime (exceeding 24 continuous hours), affected subscribers may be eligible for service credits or prorated refunds at our discretion.

Billing Errors

If you believe you have been incorrectly charged, please contact us immediately. Confirmed billing errors will be corrected and refunded in full within 5 business days.

Plan Downgrades

When downgrading from a higher-tier plan, the price difference is not refundable for the current billing period. The lower rate takes effect from the next billing cycle.
